How to Prepare for
ESL Deployment

Store layout mapping, gateway planning, and product data preparation.

Deploying Electronic Shelf Labels is a physical infrastructure project masquerading as an IT project. Store layout, shelf mapping, gateway quantity calculation, label sizing, and product data synchronization must be strictly planned before ordering hardware.

1. Store Layout & Shelf Mapping

Before ordering a single electronic shelf label, you need a complete map of every shelf edge in your store. This physical count determines your label quantity, gateway placement, and total budget.

  • Walk every aisle with a floor plan.
  • Record aisle number and side (e.g., Aisle 3, Left).
  • Record shelf tier (1 = top, 5 = bottom).
  • Count facings per product.
  • Identify rail types (pegboard, standard flat, cooler door). Measure rail thickness on at least 3 fixtures per aisle to avoid clip mismatch.

2. Label Size & Display Type Selection

Not every shelf position needs the same label size. A common mistake is ordering uniform 2.13-inch labels for the entire store, only to find they cannot display promotional text on end caps or are oversized for pegboard hooks.

Fixture Type Recommended Size Why / Features
Gondola Standard Shelf 2.13" or 2.66" Fits standard rail height, shows main price + unit price clearly.
End Cap / Promotional 2.9" or 4.2" Larger display for promo graphics, "SALE" badges, and scannable QR codes.
Pegboard Hooks 1.54" Small footprint, fits between standard tight hook spacing.
Fresh Produce / Cooler 2.13" IP65 Waterproof rating essential to resist condensation and misting systems.

Note: If displaying QR codes (loyalty/traceability), choose minimum 2.66" displays. Smaller sizes cannot render dense QR codes reliably for smartphone cameras.

3. Gateway Quantity & Coverage Planning

ESL gateways (Base Stations) communicate with labels using 2.4GHz proprietary protocols, BLE, or Zigbee. Coverage depends on the protocol, store layout, and physical interference (metal racks, concrete).

Coverage Guidelines

  • Standard 2.4GHz: 500–1,000 labels / 30m radius
  • High-Concurrency (TDMA): 2,000–5,000 labels
  • BLE 5.0 Gateway: 200–500 labels / 20m radius

Gateway Calculation

(Total Labels ÷ Capacity) × 1.2

Calculate with a 20% coverage buffer for interference overlap.

Critical Infrastructure Check: Every gateway needs a PoE (Power over Ethernet) cable run and a network port. Confirm your store has available PoE switch capacity and wiring before finalizing gateway mounting positions.

4. Installation Accessories Checklist

The labels themselves are only 40% of the hardware cost. Budget for the full accessory kit. Rule of thumb: Order 10% more clips and rails than your shelf map indicates. Clips break, and store resets happen.

5. Product Data Preparation

ESLs display whatever data your backend system sends. If your product master data is inconsistent, your labels will show wrong prices or garbled names. Fixing 5,000 labels after go-live is far harder than cleaning data beforehand.

  • SKU / PLU: Unique identifier matching your POS.
  • Product Name: Truncated to fit display (15–25 chars for 2.13", 30–40 for 2.9").
  • Pricing: Retail Price, Unit Price (e.g., $3.99/lb), and Promotional Price (with start/end dates).
  • Metadata: Barcode (for activation scanning) and Department Code (for zone-based updates).
  • Price Audit: Compare your export against the live POS database. Mismatches create legal compliance risks.

6. Update Frequency & Synchronization

How often do your prices change? The answer determines your gateway throughput requirements and your network architecture. Plan heavy full-store syncs during off-peak hours (overnight) to reduce gateway CPU load.

7. Team Training & Go-Live Readiness

A successful ESL deployment is 30% hardware and 70% process. Ensure the floor staff, not just IT, are prepared to manage the system daily.

Assign a Project Lead: One person responsible for the deployment map, data file, and vendor coordination.

Train Floor Staff: Train 2–3 employees on label activation via PDA, battery replacement, and physical repositioning.

Phased Installation: Schedule installation one aisle at a time. This limits store disruption and catches configuration issues early.

Prepare a Rollback Plan: Have a thermal printer and paper label stock on standby. If the system fails on day one, you must be able to price items within 2 hours.
