Right POS System

The POS terminal sits at the center of your checkout, inventory, and customer engagement.

A well-matched POS system speeds up checkout and scales with your business. A poorly chosen system creates bottlenecks and wastes capital. Whether you run a single boutique or a chain of 50 stores, this guide will help you select the exact hardware that fits your workflow.

1. Operating System: Android vs Windows

The operating system determines software compatibility, app ecosystem, security updates, and long-term maintenance costs. The two dominant choices are Android and Windows.

2. Screen Size & Touch Technology

The display is the primary user interface. Size affects checkout speed, line-item visibility, and counter footprint.

Dual-Screen Configurations

Adding a customer-facing second display builds trust, enables digital receipt signature capture, and displays high-margin promotional content while the cashier scans items.


Touch Tech Note: Capacitive touch (multi-touch, like an iPad) is preferred for modern retail. Resistive touch (pressure-based) is only recommended if cashiers wear heavy work gloves or there is constant liquid exposure.

3. Processor, RAM, & Storage

Hardware performance directly impacts checkout speed. A slow terminal causes lines to back up and frustrates cashiers.

Storage note: eMMC storage is standard on Android POS. If buying Windows, SSD (Solid State Drive) is mandatory. Avoid legacy HDD (Hard Disk Drives)—they fail rapidly in retail environments and boot painfully slow.

4. Ports & Connectivity (I/O)

A POS terminal is a hub. It must connect to network routers, printers, cash drawers, and scanners. Check the physical I/O interface carefully.

  • Ethernet (LAN) vs Wi-Fi: Always mandate LAN ports. Hardwired internet prevents checkout failures when store Wi-Fi goes down. Wi-Fi (802.11 ac) is only for mobile or popup stations.
  • Bluetooth: Essential for wireless 2D barcode scanners and mobile backup receipt printers.
  • Serial (RS232): Still highly prevalent for legacy cash drawers, kitchen impact printers, and customer pole displays. Ensure at least one DB9/RS232 port exists.

5. Peripheral Support

Receipt Printers

Standard is thermal 80mm. Ensure the terminal OS supports standard ESC/POS print commands via USB or Network.

Barcode Scanners

Upgrade to 2D imagers instead of 1D lasers to read QR codes, mobile loyalty apps, and digital payments.

Cash Drawers

Verify the voltage. Cash drawers trigger on either 12V or 24V. Match it to your terminal's RJ11 output to avoid blowing the solenoid.

Payment Terminals

Verify your processor's integration protocol (standalone, semi-integrated USB, or network-based API).

6. Form Factor & Mounting

Physical layout defines the cash wrap aesthetic and serviceability.

7. Durability & Environment Readiness

Retail environments vary from pristine jewelry boutiques to dusty garden centers.

  • Operating Temperature: 0°C to 40°C is standard. If your store has open shutters or is outside, request an extended temperature rated board.
  • Fanless Design: Critical for 24/7 retail. No active cooling fan means zero dust intake, completely silent operation, and elimination of the #1 mechanical failure point.
  • Dust & Splash (IP Rating): Look for an IP54-rated front panel if deploying in cafes, bars, or bakeries where spilled drinks or flour dust are common.

8. Software Compatibility Checklist

Hardware is a vessel for your software. Do not purchase until you confirm these technical requirements with your POS software vendor:

  • Does the software require a specific OS version (e.g., Windows 10 IoT, Android 11+)?
  • Does it rely on legacy strict drivers like OPOS, JPOS, or Windows spooler?
  • Is the app completely Web-based (runs in Chrome), or is it a local installation (.apk / .exe)?
  • Can the POS hardware be locked into Kiosk Mode (MDM profiles) to prevent cashiers from exiting the software?
